This policy explains how Grüntek collects, uses and protects your personal data when you use this website, and what your rights are.
01Who we are
This website is operated by Gruntek District Cooling Services Co. L.L.C, trading as Grüntek Energy Solutions (“Grüntek”, “we”, “us”), a limited liability company licensed by the Department of Economy and Tourism (DET), Dubai, licence no. 1277024.

We are the controller of the personal data described in this policy. We process it in line with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and other applicable UAE laws.
02What we collect and why
We only collect personal data you choose to give us through the forms and tools on this website, plus the minimum technical data needed to run it securely.

03Legal basis
- Consent: every form asks for your consent before anything is sent to us. Marketing updates are only sent if you tick the separate optional box.
- Steps before a contract: when you ask for a quotation, assessment or proposal, we use your data to respond.
- Legal obligations and security: to keep records required by law and to protect the website and our systems.
04Who we share it with
We do not sell your personal data. We share it only with service providers who process it on our behalf under contract, and only as needed:
- Website hosting, database and file storage: Cloudflare (global infrastructure).
- Email delivery of form submissions to our team: Resend (United States).
- AI chat and assessment drafts: OpenAI (United States). Only the text of your chat or the typed assessment inputs are sent; uploaded bill files, PDFs and CVs are not sent to OpenAI.
- Our team’s secure sign-in to the private dashboard.
- Authorities, if required by UAE law or a valid legal request.
05Transfers outside the UAE
Some of these providers store or process data outside the UAE. Where we transfer personal data abroad, we rely on your consent and on contractual safeguards with the provider, as permitted by the UAE Personal Data Protection Law. By submitting a form you consent to this transfer for the purposes described above.
06How long we keep it
We keep submissions (enquiries, bill uploads, assessments, chat transcripts and CVs) for 12 months from the date we receive them, then delete them. If you become a client, we keep the records we need for the project and for as long as UAE law requires.
The chat session cookie expires after 24 hours. Rate-limit counters are short-lived and contain no directly identifying data.
07How we protect it
Data is sent over encrypted connections (HTTPS). Files are stored in private storage that is not publicly accessible, and records can only be viewed by authorised Grüntek staff through a secure sign-in. We limit access to people who need it and review our providers’ security.
08Your rights
Under the UAE Personal Data Protection Law you can ask us to:
- Tell you what personal data we hold about you and how we use it, and give you a copy
- Correct inaccurate or incomplete data
- Delete your data
- Restrict or stop processing your data
- Transfer your data to you or another organisation in a readable format
- Withdraw your consent at any time (this does not affect processing already carried out)
- Stop sending you marketing updates
09How to make a request or complaint
Email cs@gruntekenergy.com with your request. We may ask you to confirm your identity. We aim to respond within 30 days.
If you are not satisfied with our response, you can contact the UAE Data Office, the federal authority responsible for personal data protection.
10Cookies and similar technologies
We do not use advertising or analytics cookies, and we do not track you across other websites. Fonts are served from our own website.

11AI and automated tools
The estimator, bill analysis, assessment tool and AI chat give indicative information only. They do not make decisions about you. AI-generated text can contain mistakes and is reviewed by our engineers before any professional advice or quotation is given.
12Children
This website is intended for businesses and professionals. It is not directed at children under 18, and we do not knowingly collect their data.
